Job Description

Basic Function: Ada S McKinley Community Services seeks a Data Entry Specialist. Under the supervision of the Senior Director of Child Development Programs, the Data Entry Specialist performs data entry duties within specified databases, obtained from the collection of information from parents, staff, teachers, coordinators, and staff personnel. The Data Entry Specialist also assists with basic office duties in the Child Development Program’s administration office, including maintenance of records, research, compiling reports, and various projects as assigned.

Principal Duties/Responsibilities:

  • Collects and enters program information from parents, teachers, coordinators, managers, and the director on all children and families enrolled in the Early Head Start and Head Start programs into the Child Outcomes Planning Assessment (COPA) database; this includes but is not limited to demographics, health and safety, nutrition, education, disabilities, family services, personnel information and training.
  • Responsible for entering demographic data on all partner children in the agency’s EVOLV system.
  • Assists the Director of Quality Assurance in scanning documents and entering them into the Child Outcomes Planning Assessment (COPA) database .
  • Tracks daily attendance for Early Head Start and Head Start students as reported by EHS/HS teachers, to generate monthly attendance reports using the data management system.
  • Prepares and submits requested data management system reports.
  • Assists with the data collection and the completion of Program Information Report (PIR).
  • Follows agency and program’s confidentiality policies concerning information about children, families, and other staff members.
  • Assists with the completion of the annual Self-Assessment of the program.
  • Attends citywide Child Outcomes Planning Assessment (COPA) database and other trainings or technical assistance when required.
  • Operates general office equipment as needed.
  • Performs other duties as necessary and/or as directed to ensure the success of the programs.

 

Mental/Physical Demands:

Ability to analyze and process large quantities of information and data. Able to perform repetitive work in accordance to set procedures. Ability to turn on and operate a computer and all computer components (keyboard, mouse, monitor, etc.). Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and talk or hear. The employee frequently is required to sit. The employee is occasionally required to stand and walk. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. The employee must be able to tolerate looking at the computer monitor and data for long periods of time.

 

Job Requirements

  • Candidate must possess at least a High School Diploma/GED or equivalent
  • Ability to type 45 words per minute (45 wpm)
  • Must be extremely detail-oriented, demonstrate outstanding proofreading skills, and excellent written & verbal communication skills
  • Experience auditing, proofreading, and copywriting preferred
  •  High level of personal and professional integrity a plus
  • Ability to multitask while remaining organized is required; must be able to interact with multiple staff requests at once
  • Ability to work independently in a deadline-driven team environment is required
